Donating Student / Alumni Organization Records to the University Archives
Hours: Monday - Friday 8:00 - 5:00

The heart and soul of this fine institution remains its' students and the experience they gain while obtaining their education. Collecting student organizational records is one way in which the University Archives is documenting those experiences. Depositing records of student organizations in the University Archives
  • insures a permanent record of your organization's activities and achievements
  • promotes alumni relations
  • aids in future fund raising activities
  • makes them available for exhibits, publications and websites
  • aids future researchers in documenting the full ECU experience

Types of records to be saved:

  • Meeting minutes
  • Newsletters
  • Photographs
  • Flyers
  • Membership lists
  • Constitution & Bylaws
  • Publications
  • Printed versions of your website
  • Audio/Video tapes, CD's and DVD's
  • Correspondence
  • Reports
The University Archives is your resource for preserving your organization's contributions to ECU. We can provide help with records management and document preservation issues to insure your legacy. The University Archivist is available to discuss transfer of records to the archives.

Oral history is another way that the university is preserving memories of individual students. We are looking for anecdotes regarding

  • participation in student organizations
  • athletics
  • dorm life
  • professors and classes

Oral histories are transcribed and made available in the archives and on-line:

Donors should know that the University Archives . . .
  • reserves the right to choose which items are added to the collection. Materials that are not chosen will be returned to the donor.
  • can not make a monetary appraisal of a gift for the use of the donor. If an appraisal is needed, the donor should have one done before the materials are donated. The Archives will provide the donor with a letter of acknowledgement.
  • can provide limited pickup for large donations when given sufficient advance notice.
